Read the terms carefully before participating or using BERGMAN services.
Bergman Race Rules & Regulations
General Rules
- The Organisers reserve the right to accept, reject, or limit participation at their sole discretion.
- Participants may be withdrawn from the event at any stage if deemed physically unfit or unable to continue safely.
- The Organisers may amend rules, regulations, event guidelines, or the race route when reasonably necessary.
- Participants are responsible for understanding and following event rules and official instructions.
- Entries are non-transferable and bib numbers may not be exchanged unless BERGMAN expressly approves otherwise.
Podium and Trophy Collection
Podium finishers must collect trophies at the official prize distribution ceremony. Trophies not collected at the venue will not be couriered or shipped later.
Bib and Kit Collection
- Bib and kit collection uses secure OTP verification sent to the participant’s registered mobile number or email address.
- Participants must be physically present to collect their bib kit unless the Organisers publish a different event-specific process.
- No bib or kit will be issued without successful verification.
- An authorized representative may collect permitted goodies, but not a bib kit, where the event allows it and OTP verification succeeds.
- Requests to update a registered mobile number may require valid identity proof at the Help Desk.
- Uncollected bibs, kits, or goodies will not be shipped or distributed later unless expressly stated for that event.
Cancellation and Refund Policy
- Cancellation within 48 hours of registration: 90% refund, excluding GST.
- Six or more months before the event: 70% refund, excluding GST, processing charges, and platform fees.
- Four months before the event: 50% refund, excluding GST.
- Three months before the event: 20% refund, excluding GST.
- Two months or less before the event: no refund; cancellation remains permitted until the event date.
Deferral and Category Change
- Requests must be raised at least 60 days before the event through official channels.
- An approved deferral is valid for one year from the original event date, subject to policy and availability.
- Only one approved deferral per entry is allowed.
- A fee difference may apply when moving to a higher-priced category or event.
Current System Service Fees
- Triathlon deferral: ₹2,000.00 / $20.00
- Triathlon category change: ₹2,000.00 / $20.00
- Swimathon deferral: ₹500.00 / $5.00
- Swimathon category change: ₹500.00 / $5.00
Weather, Safety, and Force Majeure
- A start may be delayed, a route modified, or an event cancelled for safety, weather, regulatory, or force-majeure reasons.
- If swim conditions are unsafe, the swim leg may be shortened, cancelled, or replaced with a run segment.
- Outside pacing, unauthorized support, littering outside designated zones, headphones where prohibited, and nudity outside changing areas are not allowed.
Race Entry and Age Rules
- Events are open to eligible participants of all nationalities, subject to event-specific rules.
- Triathlon minimum age: 16 years on race day.
- Swimathon minimum age: 9 years on race day.
- Bib swapping, identity misuse, or deliberate timing interference may result in disqualification or a ban.
Athlete Check-in and Discipline
- Mandatory check-in and race briefing requirements must be followed.
- The timing chip must be worn as instructed throughout the race.
- Bike check-in and check-out must follow designated slots and controls.
- Swim, bike, and run segments must follow discipline-specific safety and conduct rules.
